Store & Inventory Coordinator
Workdays / Time: 5-day work week, Monday to Friday (8:00am – 5:18pm)
Working Location: Loyang
Salary: $3,500 (After confirmation $3,800)
Job Purpose
The Stores & Inventory Coordinator provides administrative and operational support for the Company’s stores, inventory, consignment and production-related activities.
The role is responsible for ensuring accurate inventory records, timely processing of transactions and documentation, effective coordination with internal departments and suppliers, and proper follow-up of stores and inventory matters.
The position works closely with the Stores & Production Executive and other departments to ensure smooth and efficient day-to-day operations.
Key Responsibilities
Inventory & Stores Administration
- Process GRNs, picklists, Delivery Orders, certificates and other stores-related documentation.
- Assist with inventory monitoring, stock reconciliation and investigation of discrepancies.
Consignment & Sales Administration
- Monitor consignment inventory usage and coordinate replenishment requirements.
- Prepare consignment proforma invoices, verify usage reports and process related sales orders and documentation.
Production Support
- Raise kitting forms and process paint work orders.
- Coordinate with Stores and Production to ensure materials and related documentation are available when required.
Purchasing & Supplier Coordination
- Coordinate the purchase of stores, warehouse and operational supplies.
- Obtain quotations where required and liaise with suppliers on orders, deliveries and outstanding
- matters.
- Maintain appropriate purchasing and supplier documentation.
Documentation & System Management
- Ensure timely and accurate data entry and system updates.
- Process credit notes and other inventory-related transactions.
- Maintain proper records and supporting documentation.
Cross-Functional Coordination
- Coordinate stores and inventory matters with Production, Warehouse, Sales, Finance and other relevant departments.
- Follow up on outstanding matters to ensure timely completion.
General Support
- Support the Stores & Production Executive in the day-to-day administration and coordination of the Stores function.
- Identify opportunities to improve processes, accuracy and efficiency.
- Perform other related duties as assigned.
Requirements
- Minimum 3-5 years of relevant experience in administration, operations, procurement, warehouse administration or a related field.
- Experience in procurement and supplier/vendor coordination.
- Experience in invoicing, billing or other transactional processes will be an advantage.
- Proficient in Microsoft Office, particularly Microsoft Excel.
- Experience with ERP, inventory management or other business systems will be an advantage.
