Job Summary
The Waybill Processing Assistant is responsible for receiving, checking, recording, counting and reconciling waybills for incoming and outgoing vehicle transactions. The role ensures that all waybill records are complete, accurate and properly maintained.
Key Responsibilities
- Receive and check waybills submitted by drivers or site personnel.
- Verify vehicle details, quantities, destinations, customer information and other required information.
- Ensure that all mandatory fields are properly completed.
- Record and update waybill information in the relevant register or computer system.
- Count and reconcile waybills against vehicle movement and operational records.
- Identify missing, duplicated, incomplete or inaccurate waybills.
- Follow up with the relevant personnel to correct discrepancies.
- Prepare daily, weekly and monthly waybill summaries and reports.
- Sort, file and maintain waybill records for audit and reference purposes.
- Support the retrieval of documents during audits or operational reviews.
- Maintain proper control over issued, returned, cancelled and outstanding waybills.
- Follow company procedures, site rules and workplace safety requirements.
- Perform other related administrative duties assigned by the supervisor.
