Assistant Operations Executive / Operations Executive

Job Summary

You will manage customer orders from processing to delivery, coordinate logistics, maintain documentation, and support invoicing while collaborating with sales, production, and warehouse teams to ensure smooth operations.

Responsibilities

• Process, track, and monitor customer orders accurately and efficiently to ensure timely delivery
• Confirm delivery schedules and communicate updates or changes promptly to customers
• Coordinate logistics arrangements by liaising with relevant internal and external parties
• Follow up with customers on outstanding payments to support timely collections
• Maintain accurate documentation and records related to orders and shipments
• Prepare invoices, Certificates of Origin (COO), and other work orders to support billing and compliance
• Respond professionally to phone calls, emails, and inquiries related to operations
• Prepare outgoing samples, update sample stock lists, and arrange courier services for customers
• Collaborate closely with sales, production, and warehouse teams on daily operational activities
• Perform ad-hoc duties as assigned by supervisors to support operational needs
• Experienced applicant(s) may be assessed as Operations Executive

Required competencies and certifications

• Minimum 'O' level or ITE certificate
• At least 2 years of hands-on experience in order processing, tracking, and shipment coordination
• Strong attention to detail in verifying pricing and managing orders
• Ability to respond professionally to customer inquiries and maintain strong relationships
• Proficiency in MS Office applications.
