Operation Assistant (Import & Export)

Key Responsibilities
- Prepare and process import and export documentation accurately and in a timely manner.
- Assist in the application and submission of permits and declarations through relevant trade platforms and authorities.
- Coordinate with freight forwarders, shipping lines, customs brokers, warehouses, suppliers, and customers on shipment arrangements and documentation requirements.
- Verify shipping documents, including commercial invoices, packing lists, bills of lading, certificates of origin, and other trade-related documents.
- Monitor shipment schedules and follow up on documentation discrepancies or operational issues.
- Maintain proper filing and record-keeping of import and export documents.
- Support inventory movement and operational coordination relating to duty-paid/duty-free products.
- Ensure compliance with company procedures and applicable customs and regulatory requirements.
- Provide administrative and operational support to the Operations team.
- Undertake other duties and ad hoc assignments as required.
Requirements
- Minimum Diploma qualification in Logistics, Supply Chain Management, Business Administration, or a related field.
- At least 3 years of experience in import/export documentation, shipping coordination, or logistics administration.
- Experience in handling shipping documents and customs permit processes.
- Familiarity with Singapore's import and export procedures and Trade Net submissions will be an advantage.
- Experience in the duty-free, FMCG, trading, or distribution industry is preferred but not mandatory.
- Proficient in Microsoft Office applications, particularly Excel, Word and Outlook.
- Strong attention to detail and good organizational skills.
- A fast learner who is willing to take on new responsibilities and adapt to changing business needs.
- Positive attitude with a strong sense of responsibility and integrity.
- Able to work independently with minimal supervision while contributing effectively as a team player .
- Good communication and interpersonal skills.
