Guest Services Executive (Rooms Management)

We are seeking a detail-oriented and organised Guest Services Executive (Rooms Management) to join our Rooms Division team. In this role, you will be responsible for ensuring the accuracy and integrity of guest reservations, maintaining compliance with hotel revenue and credit policies, and supporting room allocation activities to enhance the overall guest experience.
Key Responsibilities:
- Review and verify reservation details to ensure bookings are accurately recorded in the Property Management System (PMS).
- Conduct reservation checks for bookings made the previous day and upcoming arrivals to ensure reservation accuracy.
- Verify rate codes, room rates, routing instructions, billing arrangements, and reservation comments.
- Maintain accurate guest profiles, including membership information, flight details, and estimated arrival times.
- Identify and merge duplicate guest profiles where necessary.
- Ensure required follow-up notes and instructions are communicated to relevant departments.
- Process and monitor prepayments for non-refundable reservations in accordance with hotel policies.
- Adhere to hotel credit and financial control procedures to support revenue protection and compliance.
- Investigate reservation discrepancies, prepare findings, and coordinate resolution with relevant departments.
- Support room allocation activities, particularly for guests with specific room preferences.
Requirements:
- GCE O Level, Diploma, or equivalent qualification in Hospitality, Tourism, Business, or related qualifications are advantageous.
- Minimum 2 years of experience in Front Office, Reservations, or a related hospitality function.
- Strong administrative, organisational, and record-management skills.
- Good written and verbal communication skills to effectively interact with internal and external clients.
- Proficiency in Microsoft Office applications.
- Familiarity with Opera PMS or a similar property management system is preferred.
- Strong attention to detail with the ability to accurately review and process information.
