About The Job
The shortlisted candidate will support the Manager (Administration) in delivering efficient and effective administrative and operational support to the Learning Technology & Services department.
What You Will Be Doing
Key Responsibilities
1. Procurement Processes & Financial Management
- Support purchase requisitions, goods receipt, and payment processing
- Coordinate procurement of corporate and staff-related tokens (e.g. care and concern items)
- Assist with budget tracking, monitoring of expenditures, and related financial administration
2. Office & Facilities Management
- Support day-to-day office administration to facilitate smooth operations of the department
- Coordinate office maintenance and equipment servicing
3. Records & Document Management
- Maintain proper documentation, filing and records in accordance with guidelines
- Consolidate and update data and information
4. Activities & Event Coordination
- Coordinate department activities, including meetings, staff events, and team initiatives
- Arrange logistics such as venue bookings, schedules, travel arrangements and administrative support
5. General Assignments
- Participate in University and Division-level duties such as Student Orientation, Exam Invigilation, Convocation and Recreational Club on a rotational basis, as required
- Support other ad hoc assignments as assigned
- Polytechnic Diploma in Business and Management Studies with 2-3 years of relevant working experience
- IT-savvy with the ability to independently evaluate and learn new applications and apply judgment in using AI tools at work.
- Proficient in Microsoft Office applications.
- Hands-on experience using Rapid Process Automation (RPA) tool such as Microsoft Power Automate or equivalent would be advantageous.
- Meticulous and possess high level of ethics and integrity.
- Effective interpersonal skills.
- Resourceful team player who can work with others and independently, display initiative and exercise sound judgment.
