Job Summary
We are looking for a responsible and organised Customer Service & Operations Assistant to support daily customer enquiries, order processing, inventory checking and delivery coordination. The role requires good communication skills, attention to detail and the ability to work closely with the warehouse and delivery teams.
Key Responsibilities
1. Customer Service
- Handle customer enquiries through phone, WhatsApp, email and other communication channels.
- Provide information on products, pricing, stock availability and delivery status.
- Follow up on customer requests and resolve basic issues promptly.
- Maintain good relationships with customers.
2. Order Processing
- Receive and process customer orders accurately.
- Check product availability before confirming orders.
- Prepare and update sales orders, delivery orders and related documents.
- Coordinate with the warehouse team to ensure orders are prepared correctly and on time.
3. Stock Control
- Assist with regular stock cycle counts.
- Check physical stock against system records and report discrepancies.
- Monitor stock levels and highlight low-stock or fast-moving items.
- Assist in maintaining accurate inventory records.
4. Delivery Coordination
- Liaise with the delivery team on daily delivery schedules and requirements.
- Coordinate delivery timing and special instructions with customers.
- Follow up on delivery status and update customers where necessary.
- Report any delivery issues, delays or discrepancies to the relevant person.
5. General Office & Operations Support
- Maintain proper filing and records of orders, deliveries and customer communications.
- Assist with daily administrative and operational tasks.
- Work closely with the sales, warehouse and delivery teams to ensure smooth operations.
- Perform other duties as assigned by the supervisor or management.
Requirements
- Minimum 1–2 years of experience in customer service, order processing, logistics or warehouse operations preferred.
- Good communication and interpersonal skills.
- Good computer skills and familiarity with Microsoft Office/Excel.
- Organised, responsible and detail-oriented.
- Able to work independently and as part of a team.
- Able to work in a fast-paced environment.
