JOB SUMMARY
The Sales Executive provides comprehensive administrative and coordination support to the Commercial & Sales team across Raffles Sentosa Singapore and Sofitel Singapore Sentosa. This cluster role is responsible for ensuring the efficient execution of sales activities, maintaining accurate reporting and documentation, coordinating timely follow-ups, and facilitating effective communication across departments. By providing seamless operational support, the role enables the Commercial &Sales team to focus on driving revenue, strengthening client relationships, and achieving business objectives.
The ideal candidate is highly organised, detail-oriented, proactive, and possesses excellent communication and interpersonal skills. A strong service mindset and the ability to thrive in a fast-paced luxury hospitality environment are essential.
WHAT YOU WILL BE DOING
Sales Administration & Coordination
- Provide day-to-day administrative and operational support to the Commercial & Sales team across both properties.
- Prepare sales proposals, contracts, confirmations, quotations, and business correspondence accurately and within established timelines.
- Coordinate client appointments, hotel site inspections, familiarisation trips (FAMs), and internal meetings.
- Manage incoming sales enquiries, ensuring prompt distribution, timely follow-up, and effective tracking.
- Maintain departmental calendars, appointment schedules, and filing systems.
Reporting, Systems & Documentation
- Maintain accurate customer profiles, sales records, account information, and production data within the CRM system.
- Prepare regular sales reports, forecasts, presentations, meeting agendas, and minutes.
- Ensure contracts, rate agreements, client documentation, and correspondence are properly maintained and comply with Accor policies and hotel standards.
- Monitor documentation to ensure timely execution and proper record management.
Internal Liaison & Communication
- Act as the key liaison between Commercial & Sales, Events Sales & Services, Revenue Management, Reservations, Marketing, Finance, and Hotel Operations.
- Support the coordination of Leisure, Luxury Consortia, Corporate, and Wholesale accounts, including the preparation of internal briefings to ensure seamless operational execution.
- Assist in compiling information and supporting documentation for RFP responses, account reviews, and sales presentations.
- Foster effective communication and collaboration across departments to support business success.
Supportfor Sales Activities & Initiatives
- Assist in coordinating sales missions, trade shows, roadshows, client events, networking activities, and familiarisation programmes.
- Prepare sales kits, marketing collateral, promotional materials, and presentation decks.
- Track sales activities, follow-ups, action items, and project timelines to ensure deadlines are achieved.
- Support continuous improvement initiatives to enhance sales efficiency and operational effectiveness.
General Administration
- Manage general office administration, document control, filing, and departmental records.
- Coordinate meeting logistics, travel arrangements, and other administrative requirements for the Commercial & Sales team.
- Perform ad hoc assignments and projects as delegated by the Cluster Director of Commercial & Sales or Sales Managers.
- Uphold the highest standards of professionalism, confidentiality, brand integrity, and luxury service excellence in all interactions.
YOUR EXPERIENCE AND SKILLS INCLUDE
- Diploma or Bachelor's Degree in Hospitality Management, Business Administration, Marketing, or a related discipline.
- Minimum 1–2 years' experience in a sales coordination, sales administration, or commercial support role, preferably within the hospitality industry.
- Previous experience in a luxury or upper-upscale hotel environment will be an advantage.
- Experience with hotel sales systems and CRM platforms is preferred.
